This website and the Point Clouds platform (https://pointclouds.uk) are operated by Line Design Technology Limited (“we”, “us”, or “our”).

For the purposes of UK data protection law, we are the data controller of personal data processed through this platform.

2. Scope

This policy explains how we process personal data when you:

  • visit pointclouds.uk or related pages we host;
  • create an account or sign in via our authentication service;
  • use the projects, admin, viewer, demo, or other authenticated features of the platform; or
  • contact us about the service.

It applies to this Point Clouds service. Our main company website at linedesigntechnology.com may have its own privacy notice.

3. Data we collect

Depending on how you use the service, we may process:

  • Account details — such as email address, name or display name (where provided), username, and a unique user identifier from our identity provider.
  • Organisation and access data — such as your assigned company/organisation, role or group membership (for example admin), and which projects you may access.
  • Authentication data — sign-in events, session tokens, and related security information needed to keep your account secure.
  • Service content you create — project metadata, measurements, profiles, annotations, and any files you upload (such as photos or PDFs attached to annotations), associated with your account and organisation.
  • Technical and usage data — such as IP address, browser type, device information, pages viewed, and approximate timestamps, including privacy-friendly analytics (see below) and standard server/CloudFront access logs.
  • Communications — messages you send us, and internal notifications we generate when a new account needs organisation assignment.

We do not intentionally collect special category (sensitive) personal data through this platform.

4. How we use your data

We use personal data to:

  • create and manage user accounts and organisation access;
  • authenticate you and issue secure sessions for private point cloud content;
  • provide the viewer, projects list, admin tools, and related features;
  • store and retrieve project content you or your organisation create;
  • notify our administrators when new sign-ups need company assignment;
  • maintain security, diagnose faults, prevent abuse, and improve reliability;
  • understand aggregate usage of the site via privacy-friendly analytics; and
  • comply with legal obligations and respond to lawful requests.

5. Legal bases

Under the UK GDPR, we rely on one or more of the following bases:

  • Contract — to provide the platform features you request when you create an account or use the service under an agreement with us or your organisation.
  • Legitimate interests — for security, service administration, product improvement, and privacy-friendly analytics, where these interests are not overridden by your rights.
  • Legal obligation — where we must keep or disclose information to meet applicable law.
  • Consent — only where we specifically ask for it (we do not use non-essential marketing cookies on this site).

We use cookies and similar storage that are required for the service to work. We do not use advertising or marketing tracking cookies on this site.

These technologies are necessary for authentication, security, and core functionality. You can block cookies in your browser, but signed-in features and the secure viewer will not work correctly without them.

7. Analytics

We use a privacy-friendly analytics service (Plausible) hosted at analytics.pwjones.co.uk to understand aggregate site traffic (for example page views). It is designed to avoid using cookies for tracking and does not build personal advertising profiles.

Analytics data is used only to understand how the site is used and to improve the service.

8. Sharing and processors

We do not sell your personal data. We share data only as needed to run the service, including with:

  • Amazon Web Services (AWS) — hosting, identity (Amazon Cognito), storage, content delivery, email notifications, and related infrastructure for pointclouds.uk;
  • Your organisation’s administrators — who may see account and project information needed to manage access; and
  • Professional advisers or authorities — where required by law or to protect our legal rights.

Service providers act as processors under our instructions where UK GDPR requires that arrangement.

9. International transfers

Our primary application infrastructure is configured in the United Kingdom / European regions where practicable. Some subprocessors (including global cloud providers) may process data in other countries. Where personal data is transferred outside the UK, we use appropriate safeguards required by UK data protection law, such as the UK International Data Transfer Agreement or adequacy regulations, as applicable.

10. Retention

We keep personal data only as long as needed for the purposes above:

  • Account data — for as long as your account remains active, and for a reasonable period afterwards if needed for security, dispute resolution, or legal compliance.
  • Project and annotation content — for as long as the organisation’s project remains on the platform, or until deleted by an authorised user or by us on request where appropriate.
  • Logs and analytics — for short operational periods needed for security and service monitoring.
  • Session cookies — until they expire or you sign out.

11. Security

We use technical and organisational measures appropriate to the risk, including encrypted transport (HTTPS), authenticated access, organisation-scoped project permissions, and time-limited signed access to private viewer assets. No method of transmission or storage is completely secure; please keep your sign-in details confidential and tell us promptly if you suspect unauthorised access.

12. Your rights

Under UK data protection law, you may have the right to request access to your personal data, rectification, erasure, restriction of processing, data portability, and to object to certain processing. Where we rely on consent, you may withdraw it at any time without affecting prior processing.

To exercise these rights, contact us using the details below. You also have the right to complain to the Information Commissioner’s Office (ICO).

13. Children

This platform is intended for business and professional use. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.

14. Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top of this page will change when we do. Continued use of the platform after an update means you should review the revised policy.
